GulfSouth RUSH Soccer Club Image, Video, and Likeness Policy

  1. Purpose

GulfSouth RUSH Soccer Club uses photographs, video, audio, and related media to celebrate player development, promote club programs, highlight events, support fundraising and sponsorship efforts, and communicate with families and the broader community. This policy explains how the club may collect and use a player’s image and likeness in club media and how parents or legal guardians may provide or withhold consent.

  1. Scope

This policy applies to all club participants who are minors, including players involved in club teams, camps, clinics, tournaments, training sessions, community events, and other club-sponsored activities.

  1. Definition of Image and Likeness

For purposes of this policy, “image and likeness” includes a player’s photograph, video appearance, voice, name, age group, team designation, and statements or quotations made in connection with club participation.

  1. Permitted Club Uses

With parent or guardian consent, GulfSouth RUSH Soccer Club may use a player’s image and likeness for lawful club-related purposes, including:

  • Club website content
  • Social media posts and stories
  • Printed materials such as flyers, brochures, banners, and programs
  • Press releases and local news submissions
  • Promotional and recruiting materials
  • Sponsor recognition materials tied to club activities
  • Internal club communications, newsletters, and seasonal recaps

The club may edit, crop, resize, or format media for publication, provided the content remains respectful and appropriate.

  1. Parent/Guardian Consent

As part of player registration, a parent or legal guardian will be asked to indicate one of the following:

  1. Full Consent
    I authorize GulfSouth RUSH Soccer Club to use my child’s image and likeness in club media and promotional materials.
  2. Limited Consent
    I authorize GulfSouth RUSH Soccer Club to use my child’s image and likeness only in internal club communications and team-related materials, but not in public promotional or social media content.
  3. No Consent / Opt-Out
    I do not authorize GulfSouth RUSH Soccer Club to use my child’s image and likeness in any public-facing club media.

Consent selections will remain in effect until changed in writing by the parent or legal guardian.

  1. Player Safety and Privacy

GulfSouth RUSH Soccer Club is committed to using media responsibly and with player safety in mind. The club will make reasonable efforts to avoid including sensitive personal information alongside player images. As a general practice, the club will not publish:

  • Home addresses
  • Personal phone numbers
  • Personal email addresses of minors
  • School schedules or other sensitive location details unrelated to club events
  • Medical, academic, or other private personal information

When identifying players publicly, the club may use first name, last initial, age group, team name, jersey number, or general achievement descriptions, as appropriate.

  1. Third-Party Platforms

Club media may appear on third-party platforms such as Facebook, Instagram, X, YouTube, or local media outlets. Once content is published or shared on third-party platforms, GulfSouth RUSH Soccer Club cannot fully control further sharing, reposting, screenshots, comments, or archival use by others. Parents acknowledge this limitation when granting consent.

  1. No Compensation

Use of a player’s image and likeness for club-related purposes is voluntary and without compensation. No player or parent will receive payment, royalties, or other financial consideration for authorized uses under this policy.

  1. Revocation of Consent

A parent or legal guardian may revoke previously granted consent at any time by submitting written notice to the club at [community@gulfsouthsoccer.com]. The club will make reasonable efforts to stop future use of the player’s image and likeness after receiving the request. However, the club is not required to recall, remove, or destroy materials already printed, distributed, published, or shared before the date of revocation, and cannot guarantee removal from third-party platforms or outside media.

  1. Team and Event Photography by Families

Parents and spectators may take photos and videos of games and events for personal, non-commercial use, unless otherwise restricted by the venue or event organizer. Families are expected to use good judgment and respect the privacy and safety of all players. The club discourages posting images of other children in a way that is inappropriate, misleading, or harmful.

  1. Media Conduct Standard

All club media should reflect the mission, values, and culture of GulfSouth RUSH Soccer Club. The club will not knowingly use player images in a manner that is exploitative, demeaning, misleading, or unrelated to legitimate club purposes.

  1. Administration

The Club Director, Registrar, Communications Coordinator, or another designated club representative will maintain consent records and make reasonable efforts to honor opt-out requests. Coaches and team staff should be informed of any player-specific restrictions relevant to team communications and public content.
